To ensure a smooth, HIPAA-compliant, and efficient process for both the patient and Dr. Campanile, we follow the process outlined below. This process incorporates the collection of necessary patient information, securing payment, scheduling appointments, and ensuring the privacy and security of patient data.
We will ensure that all online forms, scheduling tools, and communication platforms are HIPAA-compliant to maintain the confidentiality and security of patient information; clearly communicate the process to patients, so they know what to expect at each step; and offer assistance at each stage of the process for any technical difficulties or questions patients might have.
Step 1: Initial Contact & Information Collection
Patient Information Form:
Direct patients to fill out a comprehensive online information form detailing their past medical history and any specific issues.
This form can be created using JotForm, ensuring HIPAA compliance.
Step 2: Payment
Secure Payment Processing:
After submitting the information sheet, direct patients to the payment page.
Ensure the payment portal complies with PCI DSS standards for financial data security.
Step 3: Scheduling
Upon successful payment, grant patients access to the online scheduling tool.
Allow patients to choose an available time slot that suits their convenience for a consultation in their time zone.
Send a confirmation email with appointment details and a calendar invite.
Step 4: Initial Consultation
Conduct the consultation via a secure video conferencing tool.
Take a verbal history to supplement the information provided in the patient information sheet.
Discuss and advise on the necessary testing based on the patient’s medical history and current concerns.
Step 5: Electronic Health Records
Record Keeping:
Document the consultation details and advised tests in the Electronic Health Record (EHR) system, potentially using EPIC.
Ensure all records are maintained following HIPAA standards to protect patient information.
Step 6: Sending Evaluation Back to Patient
Transcription & Evaluation:
Dictate the evaluation and have it transcribed.
Ensure the transcription process is HIPAA-compliant.
Send the transcribed evaluation back to the patient via a secure, encrypted email or a secure patient portal.
Step 7: Follow-up
Follow-Up & Further Appointments:
If necessary, schedule follow-up appointments using the same scheduling tool.
Continue to document any subsequent consultations and advised treatments/tests in the EHR.
Step 8: Billing for Additional Services
Billing:
If additional services are rendered, bill the patients through the secure website.
Ensure all financial transactions are secure and comply with relevant regulations.
